P+ is a custom platform with a Smarter Approach to Gym Operations

Our client was relying on a gym management system that didn’t align with how their business operated. It lacked flexibility, forcing them to create clunky workarounds and manage many scenarios manually outside the system – especially when supporting members with unique needs.

Access control was a major issue. While the system used fob keys for gym entry, it wasn’t properly connected to membership status. This meant members could still access the gym even if they hadn’t paid, were overdue or had cancelled – leaving staff to manually track accounts and revoke access themselves.

We built P+, a custom gym management platform designed around their business workflows. The system automates membership management, connects payments directly to access control and ensures Gym access is only active for valid, up-to-date members. By removing manual processes and closing critical gaps, P+ gives our client full control, improves efficiency and delivers a seamless experience for both staff and members.

P+ includes a powerful admin management system with smart automations designed to reduce manual work and give complete control over memberships across multiple gyms. Payments are directly linked to access, allowing overdue accounts to be automatically paused or suspended – ensuring only active members can enter the gym.

Administrators have full visibility over all sign-ups, member activity and account status, with detailed reporting to support better decision-making.For added control and security, the system allows users to be restricted or banned entirely, preventing future sign-ups or access. By automating key processes and centralising management, P+ eliminates gaps, reduces admin time and ensures the gym runs smoothly and efficiently.

Member Self Management

P+ gives members complete flexibility and control over their own accounts. Through an intuitive portal, members can manage their memberships with ease – including upgrading or changing plans, pausing/freezing membership, updating their payment details or cancelling at any time, all without needing staff assistance.

The system also includes a custom free trial workflow, where trial access is automatically activated on a member’s first gym entry and expires after use – removing the need for manual tracking and ensuring a seamless experience.

P+ includes a sophisticated custom mobile app that replaces traditional fob keys, giving members seamless 24/7 access to the gym by simply tapping their phone at entry points. Users can unlock doors instantly – creating a modern, frictionless experience with a deep integration with the entire system. 

Access control is directly connected to membership status, payments and account activity in real time – this means permissions are automatically updated and active members receive instant access. Members who have reached a 60 day overdue status, are cancelled, frozen or banned account status are immediately restricted without any manual intervention.

Booking Platform

A comprehensive booking system allows members to reserve services such as PT sessions, saunas or ice baths across multiple locations. Booking workflows are automated to prevent overbooking and can be configured to give members exclusive access during their session – ensuring a private, premium experience without sharing facilities.

For added convenience, on-site iPads allow for last-minute bookings, making it easy for members to secure a spot when they arrive. All bookings are linked to the member’s account and email, giving them full visibility of their booking history and upcoming sessions. The result is a smooth, flexible experience that puts members in control while maintaining operational efficiency.
