Bringing Order to Complexity with SharePoint

Our client was operating across a scattered landscape of tools, systems and document repositories, making it difficult to stay organised and maintain visibility across the business. Information was siloed, processes were inconsistent and teams lacked a single source of truth.

We addressed this by designing and implementing six dedicated SharePoint sites – one for each business stream. Each site was tailored to its function, with integrated online forms to capture and manage data consistently from the outset.

We then migrated files and data into these structured environments, cleaning up and consolidating content along the way. This not only brought documents into one accessible place but also aligned each business stream with clearer processes and visibility.

Flexible Task Management

To support the diverse needs of the organisation, we developed a flexible task management framework within SharePoint, enhanced with custom functionality to handle everything from grants and programs to internal tasks, learning and compliance.

Rather than a one-size-fits-all approach, we tailored the system to reflect how each area of the business operates. This allowed teams to manage their specific workflows while still maintaining consistency and visibility across the organisation. Whether tracking grant milestones, managing program delivery, monitoring compliance requirements, or coordinating internal initiatives, everything could be handled within a unified structure.

Executive Oversight

A key part of the transformation was consolidating documents and streamlining how information enters the system. We migrated files from multiple locations into the new SharePoint structure, organising them in a way that made sense for each business stream while eliminating duplication and outdated content.

Alongside this, we implemented online forms directly integrated with SharePoint to ensure all new data is captured consistently and stored in the right place from the start. With documents centralised and forms feeding data directly into the system, the organisation now has a single source of truth – making it easier to find information, maintain accuracy and support efficient day-to-day operations.
