Back to Basics: Rebuilding Program Management in Microsoft Dynamics

We inherited a Program Management system built in Microsoft Dynamics that had become overly complex, difficult to use and inefficient for the team managing it. Workflows were overengineered, data was scattered across the system and disconnected fields created double handling, duplicate data and unnecessary admin overhead.

This system was critical to delivering programs across hundreds of users, with teams needing clear visibility over both the overall program and each individual participant within it. Before we stepped in, tracking progress and managing users was time-consuming, frustrating and far more manual than it needed to be.

We took the time to understand how the team actually worked, learned their real processes and stripped the system back to what was truly needed. From there, we rebuilt the experience with clean, practical workflows, clear progress tracking and smart automation that made everyday management easier.

The result is a streamlined Program Management system that is simpler to use, easier to maintain and far more effective for managing programs and participants at scale.

A major part of the transformation was redesigning the program workflows to make them simpler, clearer and far more effective for the team using them every day. We replaced overly complicated processes with practical workflows that matched how the organisation actually delivers and manages programs.

To improve visibility, we introduced visual progress bars that made it easy to see exactly where each program and participant sat at any point in time. This gave the team an instant snapshot of status, reduced guesswork, and made tracking large volumes of users far more manageable. We also implemented external forms that integrated directly into the system, allowing information to flow in cleanly and consistently without the need for manual re-entry.

To support strict and often complex government reporting requirements, we implemented a fully automated reporting solution that removes the burden of manual data compilation. Previously, generating reports was manual, time-consuming and prone to inconsistencies due to fragmented data and manual handling.

We built a system that pulls accurate, real-time data directly from Dynamics and structures it into reports that match exact submission requirements. Reports can now be generated and exported in the required formats, not to mention dashboards with visual graphics, giving the team clear insights into program performance.
