Fast, Effective Project Visibility with Existing Tools

With limited budget and an urgent need for better oversight, we worked with a client to rapidly deliver a high-level Project Management System using the tools they already had in place. The goal was clear – give executives visibility across all projects without introducing new software or complexity.

In just a few short weeks, we designed and built a streamlined system that provided a centralised view of all projects at a glance. Executives could easily track progress, identify risks and stay informed without needing to dig into the details.

At the same time, project managers were empowered with the tools they needed to manage delivery effectively – updating and assigning tasks, building timelines and posting live updates as projects evolved. All of this information fed directly into the executive view in real time, ensuring alignment across all levels of the organisation.

The result was a fast, practical solution that improved transparency, streamlined communication, and brought clarity to project delivery without stretching the budget.

Structured Project Delivery

We started by building a clear and structured project foundation, making it easy to create and manage projects from the ground up. Within each project, teams could add tasks, assign them to users and set due dates to keep everything on track and accountable.

To support real collaboration, users could upload files, update completion percentages and add comments – creating an ongoing conversation directly within each task. This kept all communication and context in one place, reducing the need for external tools and scattered updates. We displayed 3 views; list view, timeline view and calendar view.

Executive Oversight

To complement the project-level management, we created a powerful executive view that brings all projects into a single, high-level dashboard. This allows leadership to quickly understand what’s happening across the entire portfolio without needing to dive into individual project details.

From one place, executives can see key information including due dates, deliverables, risks and assigned team members. This provides instant clarity on project status, highlights potential issues early, and supports better, faster decision-making.
